Submission options for presentations and video presentations:

  • Advance upload: Around 1–2 weeks before the conference, you will receive an email from our technology partner Röll Media with a link to upload your presentation.
  • On site: Alternatively, you can submit your presentation (including video files) on a USB stick or external hard drive to the media reception desk no later than 30 minutes before the start of the session. Transmission via the Internet is possible, but not preferred.
  • Support: If you have any questions about the functionality of your presentation, the team at the media reception desk will be happy to help.

Technical notes on the presentation

All presentations will be played via data projectors in 16:9 format and a closed presentation management system.
It is not possible to connect your own laptop.

  • File format: Please use Microsoft PowerPoint (.pptx, version 2010 or higher). Older formats (*.ppt) and Apple Keynote files can be converted on site at the media reception desk.
  • Not supported: Special formats such as Prezi or *.opd.
  • Media & fonts: Make sure that all fonts and media files are included, especially for embedded videos or special fonts.
  • Video formats: MP4, MPEG-2, MOV, or WMV are supported. Other formats can be converted on site if necessary.

General agreement for speakers and chairpersons

Preamble
As a service provider and organiser of conventions and conferences, event agency wikonect GmbH provides organisational and other services for purposes of preparing, holding, and post-processing of usually scientific training events in the healthcare industry. In the interest of the greatest possible transparency, this agreement aims to regulate the conditions for participation by members of these disciplines (all practitioners of medical, dental, pharmaceutical, or other medicinal fields and all other persons) who will be participating in an event as speakers or chairpersons, as well as to consider the principles (separation, transparency, equivalency, documentation) thereof.

Obligations of the speaker/chairperson
The speaker/chairperson is obligated to create and present a PowerPoint presentation in a timely fashion, and to adhere to all applicable copyright regulations, and grants their consent to announce the title of the presentation and their name in the respective event programme (analogue/digital).

The chairperson is obligated to moderate the meeting and to coordinate participants’ questions and discuss these with the speakers.

Travel expenses
The costs for participation in the event and reimbursement of travel expenses are based on the event’s travel cost directive. Should any reimbursement occur, this will be noted separately in the invitation.

Live stream / on-demand (if intended for the event)
The speaker/chairperson consents to their presentation and the entire meeting at the event being published in the form of a printed and/or digital meeting manuscript (if intended) and being reproduced in audio and image format in the form of a live stream. Furthermore, the presentation and the entire meeting will be available on the event’s respective digital platform in the form of on-demand video. wikonect GmbH partners with external service providers (technical providers of the live stream and virtual platform) to achieve this.

Consent to use of photographs
The speaker/chairperson consents to the royalty-free use of photographs of their person taken during the event, and to the post-reporting and documentation on the event website and the website of wikonect GmbH or the organiser and the respective newsletters thereof. Use of photographic documentation for any purposes other than those described, and marketing thereof by providing the photographs to third parties, are prohibited.

This consent is granted voluntarily. No disadvantages will arise as a result of consent not being granted. This consent can always be revoked with effect for the future.

Liability
The speaker/chairperson ensures that the services will be rendered with the diligence necessitated by their profession and based on the latest state of scientific convention and knowledge. The speaker/chairperson is liable for damages caused through malice or gross negligence by defects, default, or non-fulfilment of contractual obligations or violations of other duties.

Duration of the agreement
The agreement comes into effect upon approval by the speaker/chairperson and expires once the event ends. Both contract parties can also terminate the contract without notice in the event of compelling cause or major violation of the agreement by the respective other party.

Data protection
The speaker/chairperson has acknowledged the privacy policy of the event and consents to the information they have provided being electronically obtained and stored. Their information will solely be stored and used for purposes pertaining to the purpose of said obtainment.

Employer consent (if necessary)
If speakers and chairpersons are employed in expert groups at a medical facility or are office holders, these persons must obtain consent from their employer and confirm that serving as a speaker/chairperson does not violate legal or any internal regulations within the employment contract, and that serving in this role for wikonect does not violate their official duties.

Other provisions
The parties confirm that formation of this agreement has no impact on revenue transactions, in particular procurement transactions or pricing of the speaker/chairperson, nor are there any expectations in this regard.

Should a provision of this contract be invalid, the validity of the remaining provisions remains unaffected. In this case, the parties will replace the invalid provision with a valid provision that most closely resembles the economic purpose of the invalid provision. This applies accordingly in the event of a gap in the contract.

Changes or addenda to this contract require written form.
